Operations: New Employee Selection and Onboarding 07.17.24

Phase 1: Establish the Position

  1. Write the job description.
  2. Create a relevant and descriptive title.
  3. Determine if the position is:
    1. Part-Time vs. Full-Time
    2. Hourly vs. Salary
  4. Set the number of hours weekly.
  5. Set the workdays and hours each day.
  6. Set the hourly pay.
  7. Establish the workspace.
  8. Furnish the required office supplies, document management systems, and equipment management systems.
  9. Identify and furnish required technology such as laptop, laptop bag, office phone, etc.

Phase 2: Post the Position

  1. Build and post an online web form that will be the application for employment.
  2. Post the Position as a link to that form.

    4. Exhaust candidates from free posting sites before exploring paid posting opportunities:

Phase 3: Screen and Interview Candidates

  1. Designate how long the application will be open.
    1. Standard application run time is 3 weeks.
  2. Designate at least 1 week to review resumes and check references.
  3. Designate at least 1 week for interviews:
    1. 5 days with an interview every hour on the hour between 12 PM and 5 PM is 25 interview slots.
    2. Standard Interview Model:
      1. Detail the job description.
      2. Detail the schedule and hours.
      3. Detail the hourly pay.
      4. Explain requirements:
        1. Holiday schedule.
        2. Appropriate wardrobe:
          1. Business Casual
          2. Outdoor Events
          3. Formal Presentations
        3. Mandatory attendance at all events.
        4. Mandatory smart phone.
        5. Mandatory personal transportation.
        6. Criminal Background Check (As Determined by Title and Funding Source)
        7. Mandatory Confidentiality Agreement
        8. Non-Compete Agreement (As Determined by Title and Access)
  4. Designate at least 3 days after interviews to make final selections.
  5. Notify candidates by email and phone:
    1. Email serves as the formal offer of employment supported by a hard copy offer of employment signed on the new hire’s first day.
  6. This timeline is subject to change if it is determined that the position requires a 2nd round of interviews.

Phase 4: Onboarding and Training
